Facility Rental Refund & Cancellation Policy

The War Memorial Civic Center (WMCC), operated by the Beauregard Parish Police Jury, maintains the following refund and cancellation policies for facility rentals and room bookings.

By completing an online reservation, the Lessee agrees to the terms outlined below and to the full WMCC Lease Agreement.

Reservation / Damage Deposit

A refundable reservation/damage/cleaning deposit is required for each room rented:

Rooms 3 or 4: $50 per room
Room 5 (Eisenhower Auditorium): $125 per room

After your event, WMCC personnel will inspect the rented room(s) and grounds for damage and cleanliness.

The deposit will be refunded if:

The room is left in good standing
Trash is properly bagged and disposed of
No excessive confetti/glitter remains
No damage has occurred
All lease terms have been followed

If issues are identified, the WMCC Director will notify the Lessee of any forfeiture of deposit funds.

If damages exceed the deposit amount, an appraisal/estimate of repairs will be created and provided to the Lessee. The Lessee agrees to pay any additional costs for damages, including but not limited to plumbing, HVAC systems, fixtures, furniture, walls, ceilings, equipment, and other property.

Deposit refunds are processed within 5–10 business days after the event.

For online payments, refunds will be issued back to the original credit/debit card used at checkout. Please allow 3–5 additional business days for funds to appear in your account, depending on your financial institution.

Service and processing fees are non-refundable.

Cancellation Policy

The Lessee must cancel the booking at least 60 days prior to the event date.

If cancellation occurs fewer than 60 days prior to the event:

The Lessee forfeits one-half (1/2) of the rental fee.

If the room is booked within 60 days of the event date and later canceled:

The Lessee will still forfeit one-half (1/2) of the rental fee.

Any eligible refunds will be processed to the original method of payment within 5–10 business days. Service and processing fees are non-refundable.

Severe Weather Policy

If severe weather (hurricane, tornado, or similar event) is forecasted for the DeRidder area, the WMCC Director has the discretion to cancel the event prior to the scheduled date.

In such cases, the Lessee will receive a full refund of the rental fee.

Power Outage Policy

In the event of a power outage during the rental period, any refund will be pro-rated and must be approved by the WMCC Board of Directors.

Additional Terms

All matters not expressly covered in this policy remain subject to the WMCC Lease Agreement and the discretion of the WMCC Board of Control and personnel.
